If someone asks "Whats the difference in levels mean?"
Level 1: 110-watt bulbs, about 48 bulbs in the booth. No facial tanner. Ideal for beginners and budget-conscious customers. Lay down beds allow for longer sessions due to fewer bulbs (only about 30 bulbs) and in the booths, the bulbs are further away from the body than in a level 2.
Level 2: 160-watt bulbs, more than about 48 bulbs bulbs. Includes 800-watt facial tanners. Adjustable reflectors for facial tanning. 12-minute max session. Bulbs in the level 2 booth are a little close to the body than a level 1. Level 2 bed has a reflective panel facial tanner rather than direct facial tanner & same wattage bulbs - 160w
Level 3: 220-watt bulbs in booth, over 40 bulbs. Strong fan to prevent overheating. 7-minute max session. Level 3 bed includes shoulder tanners with 160-watt bulbs positioned closer for a quicker tan. The bulbs in the level 3 bed and booth are much closer than level 1 and 2.
Level 4 (Matrix): Over 20 high-pressure 1000-watt bulbs with purple lenses for reduced harmful rays. Mattress-like surface for comfort. Delivers instant results.
Checking In An Existing Customer
- Click the "Clients" tab. Enter their first and last name into the system and press the magnify glass icon or press enter on keyboard.
- Double-click their name when it appears.
- Click the bed icon on the top next to the $ sign to access their package:
- Select the customer's package level by clicking once.
- Choose the desired tanning time and click "Start Session".
- Enter your employee ID and password and press enter.
- Let them know that towels are right in front of them if they need one.
- Inform the customer about the 3-5 minute prep time before the bed will turn on. But if they want to start the bed easly, to press the blue button on the timer. For key west and Jamacia, its the orange start button on the bed. The start button in fiji is stuck, so they cant start it early.
- If a new customer comes in, and you cant start their bed / booth cause theres a red bad instead of a green bar to the right, then you must clean it and resrt the timer.
Recommended Tanning Time For customers who ask "How long should I go in for?"
New customer or is the customer returning after a long break?
- Level 1: Start with 6-8 minutes.
- Level 2: Start with 5-7 minutes.
- Level 3: Start with 4-6 minutes.
- Matrix: Start with 6 - 7 minutes (longer tanning is a little safer here because of the purple protective lenses, also customer flips over on their stomach during the half way mark) minutes.
- You can also see a customer visit history, and how many minutes they did in the past by clicking the Bed Image then clicking "Visit history" youll be able to see the bed they last used, and how many minutes they did. You should almost always check to see when their last visit was anywahs. For example, if the last time someone came was way back in 2023, you should say something like "It looks like its been a while since youve been here, do you want to maybe try x minutes instead of the full time, that way you don't burn?"

Processing a Package Sale in TanTrack Software
- Click on the Sales tab on the left-hand side.
- Type the customer's first name and last name in the search field.
- Double-click on the customer's name when it appears.
- Click the orange Package button under the "Sell Items" label.
- Under "Select a Package by Name," start typing the package abbreviation (e.g., 5 sessions of level 3)
- Select the correct package from the list that auto-populates.
- Verify the final unit price displayed on the right-hand side.
- Click the Add Package button to add it to the sale.
- If the customer is paying by card, click the orange Credit button.
- When the new box pops up, click the orange Request Card button.
- Wait for the total to appear on the credit card terminal.
- Instruct the customer to press the green button on the terminal to confirm the amount.
- The customer can then swipe, tap, or insert their card for payment.
- After successful payment, click the Complete Sale button.
- A receipt will print automatically, and the tanning package will be added to the customer's account.
- Proceed to start the tanning bed or booth based on the purchased package.
Signing A New Customer Up
- Have them go to ForeverTan603.com (or on the front desk computer, open chrome and go to masswebhost.com/tanform and have them fill it thsm self.), on their mobile phone, the menu will be 3 lines in the top right hand corner. Have them tap that, and click on "Tanning Consent Form" have them fill out that entire form.
- After they have completed that, open tan track software, click on "Sales" then click the + Add button.
- Ask them for their first name and last name one more time (or click the back button after they submitted the form via front desk, and copy and paste their name), Type it in, then just enter their birthday as 1/21/1980 for now and click save I'll enter the rest of their info later, you don't need to do all of it
- Get them setup with a package and start their bed
Other Info For You
- "The booth doesn't feel hot."
It's because the strong fan keeps the temperature down while still providing effective tanning. - "Why does my tan look uneven?"
Encourage even positioning and rotating mid-session for the best results. - "How often should I tan?"
Recommend spacing sessions at least 48 hours apart to allow for proper skin recovery. - "Customer claims they have free tans in the system from the past"
Sometimes this is true, but other times there might not be anything. If you don't see anything, tell them youll make a note and have the owner call themcause he has deeper software permissions to find such things. The owner will call them ASAP, and they will need to come back anither day when its figured out. - Key west and Jamacia are both the same model bed. However, Even though jamacia is a Lvl 2 bed & the same as key west, it doesn't go over 9 minutes.
